How to Plan a School Ball: A Production Checklist

Every year between June and September, schools across Christchurch and Canterbury run their balls. And every year, some planning committees nail it while others end up scrambling in the final weeks because something got missed. The difference usually comes down to starting early and knowing what to ask for.

We've done production for dozens of school balls around the region, so here's a practical checklist based on what actually matters.

Start Early: 4 to 6 Months Out

School ball season is compressed. Most Christchurch schools hold their balls within the same three-month window, which means venues, DJs, and production companies are all getting booked up at the same time. If you wait until a month before, you'll be fighting for whatever's left.

The first things to lock in:

• Venue. Popular spots like the Air Force Museum, Horncastle Arena function rooms, and hotel ballrooms fill up fast for ball season. Book the venue first because everything else (production, catering, decorations) depends on the space you're working with.
• Budget. Work out what you've got to spend, then divide it up. Production (sound, lighting, DJ) usually takes up a solid chunk. Knowing the number early means you won't overspend on decorations and have nothing left for the PA.
• Production company. Get in touch with us or whoever you're using early. We can talk you through what's realistic for your budget and venue, and lock in the date before it goes.

Sound

The PA system is the backbone of the night. If people can't hear the music properly, the dance floor dies. For a typical school ball of 200 to 400 students, you need a mid-to-large PA with subs, not just a couple of speakers on sticks.

Things to sort out:

• PA sized to the venue and crowd (we'll recommend the right one)
• Wireless microphone for speeches and announcements
• Foldback speaker near the stage or podium if there are live performances
• A sound engineer to run everything (strongly recommended for balls)

Lighting

Lighting is what transforms a boring function room into something that actually looks like a ball. This is where a lot of committees underestimate the impact.

• Moving heads for the dance floor. These create the energy and the visual wow factor.
• Uplighting around the walls in your theme colours. Cheap to add, huge visual impact.
• Haze. This is the thing that makes lighting look good. Without haze, you can't see the beams. Most venues allow it, but check first.
• Lasers if the budget allows and the venue permits. Great for the dance floor but not every venue is keen.

DJ

The DJ makes or breaks the dance floor. A good school ball DJ reads the room, knows what works for a younger crowd, and can handle the mic for announcements and awards without being cringey.

Some things to think about:

• Does the DJ bring their own gear, or do they need a PA and monitors provided?
• Can they handle speeches and announcements, or do you need someone else on the mic?
• Do they have experience with school events? It's a different vibe to a club night.

Venue Considerations

Not all venues are created equal when it comes to production. A few things to check before you sign anything:

• Power. Does the venue have enough power for a full sound and lighting rig? Older venues sometimes struggle. We can check this for you.
• Load-in access. Can we get a van or truck close to the door? Is there a loading dock? Carrying heavy subs up three flights of stairs adds time and cost.
• Haze and smoke machines. Some venues have sensitive fire alarms. Ask about this upfront.
• Noise restrictions. Venues near residential areas sometimes have sound level limits. We deal with this regularly and can manage it.
• Setup time. We need time to build and test before doors open. Make sure the venue gives enough bump-in time (at least 3 to 4 hours for a full production).

The Week Before

By the week before the ball, everything should be booked and confirmed. Run through this final check:

• Confirm bump-in time and access with the venue
• Confirm the run sheet (when doors open, speeches, awards, last song)
• Send the DJ any must-play or do-not-play lists
• Confirm who's the main contact on the night for the production crew
• Make sure someone has the playlist or Spotify login if there's pre-DJ background music
