Three weeks before a school ball in July is not the time to start looking for a PA and lighting rig. We get these calls every year, and sometimes we can help, but often the date is already booked and the gear is out. The short answer to "how far ahead should I book?" is: earlier than you think.
Here's a more detailed breakdown by event type, based on what we actually see from our booking calendar in Christchurch.
If you're putting on a festival or large outdoor concert, you should be talking to your production company at least six months out. Ideally more. Large events need a lot of gear (line arrays, sub arrays, stage monitors, front-of-house desks, lighting rigs, power distribution), and most production companies in Canterbury only have one set of the big stuff. If your date clashes with another festival, whoever booked first gets the gear.
Six months also gives time for site visits, system design, and coordination with the venue, council, and other contractors. Events at Hagley Park, for example, need resource consent, noise management plans, and sometimes traffic management. All of that takes time.
For multi-day festivals, we often start conversations a year out. It's never too early for something at this scale.
School ball season in Christchurch runs from roughly June through September, and it's packed. Dozens of schools across Canterbury are trying to book production for Friday or Saturday nights within the same narrow window. We can only do one ball per night (sometimes two if the timing works), so dates go quickly.
Three to four months ahead is a safe window. If your school has a preferred date that you know won't change, lock it in as soon as you can. We've had schools contact us in February for an August ball, and that's great. We've also had panicked calls in July asking if we can do next Saturday, and the answer is usually no.

Corporate events are usually smaller in terms of gear but often have specific requirements (projector and screen, lapel mics, multiple presentation inputs, branding on LED screens). Four to six weeks is a comfortable lead time. It gives us time to spec the system, confirm the venue details, and make sure we have everything you need.
If the event is at a venue like Te Pae Christchurch Convention Centre, they'll have their own AV infrastructure, but you may still need additional gear or an operator who knows your specific setup. Either way, don't leave it to the last week.
For large corporate events (annual conferences, gala dinners, product launches with 300+ people), treat the timeline more like a festival: two to three months minimum.
Wedding AV is usually fairly simple (speakers for ceremony and reception, a mic for speeches, maybe a DJ setup), but wedding season is busy. Summer Saturdays in Canterbury book up fast. Two to three months gives you plenty of time and avoids the stress of last-minute scrambling.
If your wedding is at a rural property or somewhere without much infrastructure, let us know early so we can plan for power, delivery access, and weather contingencies.
For a straightforward dry hire (a pair of speakers for a birthday, a small PA for a community event), a week or two is usually fine. We keep enough stock that we can handle short-notice bookings for small gear most of the time.
That said, if it's a Friday or Saturday in a busy month, even small gear can be spoken for. A quick call to check availability takes two minutes and saves a lot of stress.
Certain times of the year are consistently busy for us. If your event falls in one of these windows, book earlier than the guidelines above.
Sometimes it works out. We might have a gap, or the gear you need might be available even though we're doing another job that day with different kit. But here's what often happens when people book late:
